General Details

The Administration Section is responsible for the general administrative functions associated with Council, Council’s corporate records function and to promote good records management practices across the organisation.

The role of the Corporate Records section is to lead and coordinate the operation of the Council’s corporate records function and to promote good records management practices across the organisation.  It is the aim of Corporate Records to encourage best practice in records management in accordance with the Public Records Act 2002, Information Standard 40 and other relevant legislation, policies and associated standards.

Areas of Responsibility

  • Administrative support
  • Agenda compilation and distribution
  • Preparation of Minutes for Council, Committee and other meetings
  • Assist with Public Relations/Civic Receptions
  • Supervision of rental properties, air conditioning, fire protection, cleaning, security and pest control of Council buildings
  • NDRRA tenders
  • Purchasing and distribution of stationery supplies
  • Inward and Outward Correspondence
  • Coordination of the Council’s corporate records function in accordance with the Public Records Act 2002, Information Standard 40 and other relevant legislation, policies and standards
  • Promote best practice records management across the organisation through the development of records management policies and procedures
  • Review and maintain Council’s records management policies and procedures
  • Promote, audit and enforce the organisation’s recordkeeping requirements
  • Responsibility for the ongoing development, operation, security and maintenance of the Council’s electronic document management system (ECM)
  • Provide a Help Desk support function for ECM users
  • Develop and coordinate records management and ECM training programs
  • Manage the retention, disposal, preservation and transfer of records in accordance with approved retention and disposal schedules
